SchoolAxiom ("we", "us") takes the privacy of every school, student, guardian, and staff member on the platform seriously. This policy explains what we collect, why, and how it's protected including the one thing that shapes everything else here: every school's data lives in its own separate database, never mixed with another school's.
When a school signs up, we collect the school's name, chosen address, and the owning administrator's name and email. Within a school's own account, the school itself controls what student, staff, and guardian data it enters attendance, fees, exam results, and so on and that data belongs to the school, not to us.
Each school that signs up is provisioned its own dedicated database. Records from one school are never queried, joined, or displayed alongside another school's there is no shared student table, no shared fee ledger, across tenants. This is an architectural guarantee, not just a policy statement.
Central account information (school name, address, admin contact, billing/subscription status) is used to operate the platform: provisioning your school's database, sending billing and service notices, and providing support. We do not use it for advertising, and we do not sell it.
We do not sell, rent, or trade personal information to third parties. Data is shared only with service providers directly necessary to run the platform (e.g. hosting, payment processing for a school's chosen billing method), and only to the extent needed for that service, or when required by law.
Access to a school's database requires authentication scoped to that school. Payment gateway credentials and other secrets are stored encrypted. We recommend every school also follow good practice on its own side strong passwords, and limiting who holds admin access.
A school's administrator can request an export or deletion of their school's data at any time by contacting us. Individual students, guardians, and staff should direct data requests to their own school's administrator first, since the school controls that data.
